This Privacy Policy explains how TradePilot ("we", "us", "our") collects, uses and protects your personal data when you use the TradePilot app and website. TradePilot is a business-management app built for UK sole traders and small trades businesses. For the purposes of UK data protection law, including the UK GDPR and the Data Protection Act 2018, TradePilot is the data controller for the personal data described in this policy.

What data we collect

We collect the following types of information:

  • Account information — your name, email address, phone number, business name and login details when you sign up.

  • Content you create — the quotes, invoices, job records, customer contacts, photos, mileage and financial records you enter into the app to run your business.

  • Payment information — if you subscribe, your billing details are collected and processed by our payment provider. We do not store your full card number.

  • Usage and device data — basic technical information such as device type, app version and anonymous usage statistics that help us keep the app reliable.

Your customers' data

TradePilot lets you store details about your own customers, such as their names, addresses and job history. You are responsible for that information and, in most cases, you are its data controller. We process it on your behalf as your data processor, only to provide the app's features to you, and we do not use your customers' data for our own purposes.

How we use your data

We use your personal data to:

  • provide, maintain and improve the TradePilot app and website;

  • create and store your quotes, invoices and business records;

  • take payment for your subscription and manage your account;

  • respond to your questions and provide support;

  • send important service messages about your account or the app;

  • keep the service secure and prevent misuse.

Our lawful bases

Under UK GDPR we rely on the following lawful bases for processing your data:

  • Contract — to provide the app and account you have signed up for.

  • Legitimate interests — to keep the service secure, reliable and improving, in a way that does not override your rights.

  • Legal obligation — where we are required to keep records for tax or legal reasons.

  • Consent — for any optional marketing, which you can withdraw at any time.

How we store and protect your data

Your business data is stored on your device, with a secure backup that you control. We use appropriate technical and organisational measures, including encryption in transit, to protect personal data against loss, misuse and unauthorised access. No method of storage or transmission is completely secure, but we work hard to protect your information and keep our measures under review.

Sharing your data

We do not sell your personal data. We share it only with trusted service providers who help us run TradePilot, such as our hosting, backup and payment providers, and only so they can perform services for us under contract. We may also disclose data where we are required to do so by law.

How long we keep it

We keep your personal data for as long as you have an account with us, and for a reasonable period afterwards to meet legal, tax and accounting requirements. When data is no longer needed, we delete or anonymise it. You can export or delete your data at any time from within the app.

Your rights

Under UK data protection law you have the right to:

  • access the personal data we hold about you;

  • ask us to correct data that is wrong or incomplete;

  • ask us to delete your data;

  • object to or restrict how we use your data;

  • receive your data in a portable format;

  • withdraw consent where we rely on it.

Our website uses a small number of essential cookies to make the site work, and may use privacy-friendly analytics to understand how the site is used. You can control cookies through your browser settings.

We may update this policy from time to time. When we make significant changes, we will update the date shown on this page and, where appropriate, let you know in the app.
